The hours for this position can range from 15 to 25 hours a week and could be more as client commitments and opportunities demand. Meeting with the CEO periodically will be required.

Key Accountabilities:

  • Timely and accurate production, distribution and collection of consulting materials, related correspondence and agreements
  • Management of CEO’s professional and personal schedule, including his commitments to his college and community
  • Friendly, efficient and effective telephone and email interactions with clients, potential clients, professional associates and vendors
  • Timely management and systematic scheduling and tracking of client activities, including consulting engagements and related contracts, hotel venues, conference calls, etc.
  • Oversight of all client information within ACT database
  • Management of client invoicing, accounts payable, bank and credit card reconciliations, and producing monthly reports such as P&L, client activity and balance statements
  • Active oversight of web site including monitoring and responding to leads
  • Maintain, update and enter posts on firm’s LinkedIn page to ensure our visibility as a leader in the field
  • Openness to providing counsel regarding how to enhance the firm, including administrative practices and client acquisition

  • Exceptional attention to detail – can speedily spot and fix a typo or grammatical error
  • Extremely client oriented – interacts with clients in a timely and friendly manner from describing our services to cultivating ongoing relationships with them
  • Demonstrates good judgment and collaboration with CEO in assessing priorities and addressing them accordingly, including when to rely on telephone vs. email vs. a blend of the two
  • Proactive in following up, especially when agreements, seminar documents, scheduling and payments are delayed
  • Ability to advocate diplomatically with clients to be sure they honor their contractual commitments
  • Uncompromising commitment to confidentiality regarding client matters and the Firm’s practice

 

Skills/Experience/Knowledge required:

 

  • 5+ years corporate experience as an Executive Assistant for a C suite executive
  • Good understanding of how larger corporations operate , including knowing how to relate well to the Executive Assistants of corporate leaders, how they manage their bosses’ schedules, as well as contracts, accounts receivable, and other processes pertinent to our firm’s relationship with them
  • Impressive written and oral communication skills representative of our firm’s focus on high impact leadership communication
  • Possess and work from a home office that is quiet and orderly
  • Advanced computer skills including Excel, Word and Outlook
  • Experience with ACT or other database
  • Competent and comfortable with technology such as learning new software programs, iPhones, etc.
  • Experience with Quickbooks or other accounting system highly preferred
  • Proximity to Delray Beach/Boynton Beach (preferably within 20-25 minutes)
  • Bachelors Degree highly preferred
